PARKS & RECREATION COMMITTEE
MINUTES OF THE REGULARLY SCHEDULED
MEETING FOR JANUARY 12TH, 2009 AT 7:00 P.M.
The regularly scheduled meeting was called to order at 7:00 p.m. in the Conference Room, by Chairperson, Mary Agnes Simons and attendance taken.
ATTENDANCE:
Members present: Vickie Perreman, Michelle Davis, E. Sue Terhune, Stefano Casadei,
Mary Agnes Simons.
Members absent: Jynil Schneider, excused.
APPROVAL OF MINUTES: Minutes of Regular Meeting held December 8th, 2008.
The approval of these Minutes have been tabled until next month, as Secretary Jynil
Schneider was absent for tonight’s meeting.
PUBLIC COMMENTS: Since there was no one in the audience, there were no comments.
FINANCIAL REPORT:
Treasurer Vickie Perreman passed out copies of the financial reports for the months
ending:
October 31st, 2008 with an ending balance of $19,454.43;
November 30th, 2008 with an ending balance of $11,127.89; and
December 31st, 2008 with an ending balance of $7,841.89.
Mrs. Perreman explained that she had a letter from St Clair County Parks & Rec
had received the audit information and the filing for the millage from Mrs. E. Sue Terhune
and were forwarding the monies to the Township Treasurer, $16,___.00 which was deposited into the “208” account last Monday. It was also discussed that last year’s millage from the County was never added to the P&R budget, for the current fiscal year, this being in the amount of $15,____.00.
Mrs. Perreman discussed the other bills that were still outstanding, as yet to pay, invoices
from Michelle Davis for items purchased for the Santa Party, invoices from Mary Agnes
Simons for $70 for pumpkins for the Halloween Party, and Chocolate Milk for the Santa
Party in the amount of $15.99. There will also be a balance to Montgomery & Associates
for the Twp Parks & Rec Master Plan for $3,000; dressing up the existing walking path work completed by Wes Simons for $4,400.00, will need to place order for mulch for
playground, baseball home plate, baseball pitcher’s plate, cigarette ashtrays, and the setting of the benches for ball players. Some of these items will need to be placed into
next fiscal year’s budget.
ACTION: It was moved by Terhune, seconded by Davis to accept the financial reports
as presented by Treasurer Perreman and place them on file.

SOFTBALL FIELD UPDATES & BASEBALL DIAMOND RENTAL POLICIES:
Mrs. Terhune brought in copies of other baseball diamond rental policies and pavilion
rental applications, one from East China Twp Park. Mrs. Terhune advises that everyone
charges for being allowed to play ball, and she believes that our ballfield might be used for practices by the Little League, the Senior League, the Mens & Ladies Slo-Pitch teams
in our area. She will attempt to make contact with some of these people to see if they
would be interested in our ballfield next spring. Mrs. Perreman asked if all the work that was required to be done, could be done by April 1st. The consensus of the group that we
would be able to get the infield graded off, the bases, home plate, & pitcher’s plate set into place, the benches set for the players and arrangements for marking the field, and
any other prep or maintenance work that it will require by that date. Mrs. Terhune volunteered to prepare the sample agreements & bring them back to our Committee for the next meeting, using $50 per team per season as a possible rental rate.
ACTION: It was moved by Perreman, seconded by Casadei to take Terhune up on
her volunteering to prepare the sample agreements for using the ballfield.
All ayes. Motion Carried.
POLICY UPDATES FOR PARK PAVILION RENTAL:
It was discussed to work with the same arrangements for the Park Pavilion rental
as we used last year.
COPY OF THE ARTICLE FOR TOWNSHIP NEWSLETTER FEBRUARY 2009 ISSUE:
A Draft copy for the article was prepared by Chairman Simons and after some tweaking
by Mrs. Terhune and Mrs. Davis, (he Blessed Teachers of our Committee), a final copy was approved to be e-mailed to Eulie in Port Huron by Mrs. Davis.
SANTA DAY REPORT:
Mrs. Davis reported that our Santa Day was quite a success for our first Christmas Event.
Kids were sitting on the lap of Santa and giving him their wish lists, in between sipping on
hot chocolate and Christmas cookies. Each child received a pair of winter gloves and the
parents took pictures for posterity. Mr. Casadei and Simons reported about 35 kids participated in this event, and we hope to do it again next year.
ANNUAL TOWNSHIP PICNIC SUGGESTION:
It was suggested by the committee that we include an antique car and/or tractor show
with this year’s Annual Township Picnic in the Park. Mrs. Terhune advised that she will
contact some of her husband Ed Terhune’s friends (like Richard Vanderwarp )who dabble in antique cars and Mrs. Davis will contact Mr. Joe Ambrose on the Broadbridge Road about some of his antique tractor friends as he appeared last year and showed off his gem.

SPECIAL EVENTS SIGNS:
It was discussed that all of our events should be held on Sundays so that “event” signs
could be purchased and installed at the corner of the Twp Hall to advise people passing
by the corner that the Parks & Rec Committee was holding an event at the”park this
Sunday” More on this later.
ROUND TABLE DISCUSSION:
Due to several members going away on winter vacations, our February meeting which normally would be held on February 9th, will be backed up one week.
ACTION: Moved by Perreman, supported by Terhune to change our February meeting
to Monday, February 2nd, 2009 at 7:00 p.m.
