PARKS & RECREATION COMMITTEE

MINUTES OF THE REGULARLY SCHEDULED

MEETING FOR August 10th, 2009 AT 7:00 P.M.


1. The regularly scheduled meeting was called to order at 7:02 p.m. in the Conference Room, by

Chairperson, Mary Agnes Simons and attendance taken.


2. ATTENDANCE:


Members present: Michelle Davis, Stefano Casadei, Vickie Perreman,

Mary Agnes Simons. Jynil Schneider


Members absent: E. Sue Terhune, Excused.


3. APPROVAL OF MINUTES:


Minutes for June 8, 2009 meeting were made available for review.


ACTION: Moved by Perreman seconded by Davis to accept the minutes for June 8th, 2009 as presented and place them on file. All Ayes. Motion Carried.


Minutes for July 6, 2009 meeting were passed out for review.


ACTION: Moved by Perreman seconded by Casadei to accept the minutes for July 6th, 2009 as presented and place them on file. All Ayes. Motion Carried.



4. AGENDA APPROVAL – Two items were added to the agenda:



ACTION: Moved by Perreman and seconded by Casadei to accept the June and July meeting minutes with the additional items added. All Ayes. Motion Carried.


  1. PUBLIC COMMENTS: Since there was no one in the audience, there were no comments.


  1. TREASURER’S REPORT:


Vickie Perreman passed out her latest report for month ending 7-31-09, showing a balance of $14,959.85. A $500.00 anonymous donation was deposited in the parks and rec account. $20.00 from kid to kid sale was deposited, and a $50.00 donation from Dr. Donald Konyha was deposited as well. This month will also reflect an &1100.00 adjustment for asphalt millings invoices that was incorrectly charged to the parks and rec account.


The committee spent $3,297.96 in July. Projected August expenses are 4,100.00 (not including minimal expenses leftover from Township Picnic event. Rentals have done well. There has been $845.00of rental income with $200.00 in refunds.


ACTION: Moved by Simons and seconded by Casadei to accept the 7-31-09 financial report. All Ayes. Motion Carried.

  1. ESTIMATES ON COST OF PICNIC:


The cost of the picnic was well within budget and will be discussed at the September meeting.



  1. BANNER SIGNES FOR TOWNSHIP HALL CORNER:


Banners were made and used at the Township Picnic to advertise township events at the corner of Short Cut and Marsh. They will be used for all township events.



  1. INFORMATION ON TWP PARK SIGNES BY THE COUNTY:


Township park signs could be ordered that would say “Cottrellville Township Park”. The cost to the P&R budget would be $556.50. Discussion was had by the committee.


ACTION: Moved by Simons ad seconded by Davis to wait until next year to discuss the manufacture and installation of township park signs. All Ayes. Motion Carried


10. SPRAYING FOR YELLOW JACKETS


It was addressed that there is a yellow jacket nest in the sandbox where the sand diggers

are. A call has been placed to have the pavilion and playground area sprayed.


11. HALLOWEEN PARTY PLANNING (October 25, 2009)

Per Davis, most of the tasks that need to be done are all covered. Food is handled with

the exception of condiments. Candy is all set. Prizes are taken care of. Pumpkins will

also be there to raffle off.


Discussion was had regarding entertainment. Schneider mentioned “Barnyard Express

as an option. Farmer John would come with his outdoor farm animal program that would

entertain the children.


12. ROUND TABLE DISCUSSION:

The committee discussed that we are in desperate need of mulch for the playground (at

least one semi load). The committee decided that it is needed as soon as possible and

will order right away.


ACTION: Moved to order one semi load of mulch for the playground at a cost not to

exceed $2,500.00. All Ayes. Motion carried.

The committee also discussed the recent vandalism of the portable toilets by children and

perhaps offering the children community service hours in lieu of filing vandalism charges.

Will draft letters to send to the families.


Two individuals are interested in joining the parks and rec committee. They will be

invited to the next meeting.



13. ADJOURNMENT: With no further business, the meeting was adjourned at 7:46 p.m.
