PARKS & RECREATION COMMITTEE
MINUTES OF THE REGULARLY SCHEDULED
MEETING FOR September 14th, 2009 AT 7:00 P.M.
1. The regularly scheduled meeting was called to order at 7:06 p.m. in the Conference Room, by
Chairperson, Mary Agnes Simons and attendance taken.
2. ATTENDANCE:
Members present: Stefano Casadei, Vickie Perreman, E. Sue Terhune
Mary Agnes Simons. Jynil Schneider
Members absent: Michelle Davis, Excused.
3. APPROVAL OF MINUTES:
Minutes for August 10th, 2009 meeting were made available for review.
ACTION: Moved by Simons seconded by Terhune to accept the minutes for August 10th, 2009 as presented and place them on file. All Ayes. Motion Carried.
4. AGENDA APPROVAL – One item was added to the agenda:
Add that the 2009-2013 Master Plan for the parks and recreation committee is completed.
ACTION: Moved by Simons and seconded by Schneider to accept the September 14, 2009 agenda with the additional item added. All Ayes. Motion Carried.
PUBLIC COMMENTS: Since there was no one in the audience, there were no comments.
TREASURER’S REPORT:
Vickie Perreman passed out her latest report for month ending 8-31-09, showing a balance of $11,032.68. Known pending expenses are $170.00 for portable toilets in September, and $26.92 to Lumberjack for paint and the making of keys. Currently, the pavilion rentals total $925.00 with refunds of $400.00.
ACTION: Moved by Simons and seconded by Casadei to accept the 7-31-09 financial report. All Ayes. Motion Carried.
FINAL COSTS OF PICNIC:
The cost of the picnic was well within budget. Final costs are still being calculated and will be discussed at October meeting.
HALLOWEEN EVENT DATE CHANGE
The date for the picnic is being changed to 10-24-09 from 10:00 a.m. until 1:00 p.m. to accommodate entertainment.
ACTION: Moved by Simons and seconded by Terhune to change date of picnic. All Ayes. Motion carried.

Simons will be fixing the vinyl signs to reflect Halloween party date and times.
10. WELDING REPAIR FOR TOY DIGGERS
The toy diggers in the sand box were welded and are functional.
11. MULCH ORDER FOR PLAYGROUND
Simons has quotes for mulch. 1st price = 140 cubic yards at $2,830.00
2nd price =120 cubic yards at $2,429.00
3rd price = 100 cubic yards at $2,027.00
Prices are from Sinclair Recreation in Holland, MI.
ACTION: Moved by Perreman and seconded by Simons to order 140 cubic yards of mulch at 2,830.00. All Ayes. Motion carried.
12. HALLOWEEN PARTY PLANNING (October 24, 2009)
Planning is all set for the picnic. Will get with Davis to verify pick-up of items needed and
goody bag stuffing.
13. UPDATE ON SHERIFF’S REPORT RE: PORTA POTTY INCIDENT
The Sheriff’s Department did not file a report on the portable toilet incident. No action
can be taken by the committee.
14. ROUND TABLE DISCUSSION:
Terhune discussed that she feels we are in a “maintenance mode” with the park. She
would like to discuss bringing a project to the full board. Will discuss at another future
meeting. Ideas were to enlarge the west driveway. The committee will put together a
presentation over the winter. Also discussed perhaps looking into getting electricity to the
pavilion.
Simons let the committee know that the 2009-2013 parks and rec master plan is
complete.
